University Events and Conference Services is your resource for:

  • Single point of contact for all your needs for internal and external customers
  • Full conference and event management from concept to execution
  • On-line registration services to include credit card processing
  • Room reservations and venue recommendations
  • Reservations and invoicing for all summer programs with housing and/or dining
  • Information and advice on vendors, UConn policies/procedures, protocols, and other matters related to conference and event execution
  • Youth camp guidance and paperwork processing

What is the process?

Start by filling out our on-line inquiry form. Put as much information as you have. Once we receive it, we will either call or email you to schedule a follow-up phone call and meeting. Be prepared to discuss your goals, timeline, budget, audience type and size, and meeting space needs. If you're unsure, no problem! Our experienced planners can help you by asking strategic questions to allow you to make great decisions.

I heard you charge, is this true? UECS is a fee-for-service entity for conferences, on-line registration, and meeting space rentals. Our fees are dependent on the breadth of services we provide. We don't ballpark; no two programs are alike. Call us to discuss your program and we'll provide you with a proposal.

UECS can help by providing – venue sourcing and coordination, audio visual, decor, housing, dining, catering, entertainment, rentals, parking and transportation, decor, promotional items, photography/videography, signage, graphic design oversight, staffing, speaker management, etc.

What about events? UECS provides support for events that are hosted by the President and senior administrators, as well as the institution's signature programs such as Commencement, Convocation, anniversaries, opening and closing events, speaker series, and many more. Assistance with events is at the discretion of the Director. Please let us know if you're planning something significant that meets the strategic needs of the institution.

On-line Registration UECS contracts with an industry leader in providing a web-based, comprehensive platform for conference registration. Clients are provided with a stand-alone site which allows for customization, abstract management, collection of fees, live and custom reports, scheduled communication to attendees, and surveys. This service can be provided to both UConn and non-UConn entities.

UConn entities have access to PaymentWorks, which is best described as a transactional platform. For it to be effective, it must be paired with a separate website to communicate conference information. Our software does everything you need, in one place, and UECS does all the work for you. What's not to love!

Room Reservations UECS is the gateway for all non-UConn entities interested in booking space on campus. UECS is directly responsible for reservations for the Rome Commons Ballroom, Wilbur Cross North Reading Room, the Dodd Center's Konover Auditorium and public lounge, and the Bookstore's Community Room and adjacent lounge. The process and prices vary by space. The team at UECS has seen just about every space on campus and is fully versed in the spaces at our other campuses as well. Sports and Summer Camps UECS oversees the administration of sports camps, as well as all summer programs which utilize the dining and residence halls. A comprehensive handbook is available on how to plan a sport camp on campus. Karen Zajac in UECS assists in this process. Decision maker At the end of the day, it's your program. UECS provides expert advice, having overseen thousands of conferences and events, but we are here to support you.
