Managing conferences and events is what we are trained and hired to do. University Events and Conference Services is your resource for:

  • Single point of contact for all your needs for internal and external customers
  • Full conference and event management from concept to execution
  • On-line registration services to include credit card processing
  • Room reservations and venue recommendations
  • Reservations and invoicing for all summer programs with housing and/or dining
  • Information and advice on vendors, UConn policies/procedures, protocols, and other matters related to conference and event execution
  • Youth camp guidance and paperwork processing

 Conference and event management services may include:

Concept development – work with department to set goals, target audiences, appropriate timing, create timelines and concept

Logistics – venue sourcing and coordination, audio visual, decor, housing, dining, catering, entertainment, rentals, parking and transportation, promotional items, photography/videography, signage, etc.

Printing – manage design process and printing for all related materials

Guest management – save the date and invitation execution, tracking responses, creating reports, and preparing registration materials

Speaker management – coordinating travel, contract and payment, creating itineraries, collecting presentation materials, and hosting responsibilities

Budget – draft and monitor program budget, process paperwork, and adhere to budgetary policies

Meeting management – schedule meetings, record and distribute minutes, and assist with setting agendas

Staffing – provide staff support throughout the planning process, on-site registration, and on-site management

Consulting – recommendations and referrals on protocol, policies/procedures, and guidance on when to hire security or reach out to public safety

Role of our partners:

Concept development – communicate desired goals, target audiences, desired timing, and ideas

Logistics – communicate anticipated needs and approve recommendations made by University Events and Conference Services

Printing – identify content, provide copy, and approve all items

Guest management – develop invitation lists and interact with guests

Speaker management – select speakers, determine program subject and content, determine fees, and gather preliminary contact information

Budget – approve estimated budget, communicate funding source(s), and seek appropriate approvals (when necessary)

Meeting management – determine appropriate representatives and decision making authority and chain of command

Staffing – identify point of contact for program and when appropriate or necessary, provide greeters and staff to assist during program
