The team at University Events and Conference Services (UECS) has led and executed thousands of in-person, virtual, and hybrid events for clients from all over the globe. UECS offers a comprehensive suite of event planning and management services and is knowledgeable about new and inspiring technologies in the hospitality industry. Our operations are not limited to UConn campuses; UECS plans and executes events nationwide.

Services We Provide


UECS has skilled planners in both virtual and hybrid settings. A virtual event is held entirely online, either live, simulive, or pre-recorded, while a hybrid event includes both in-person (live) and online (virtual) elements. UECS partners with trusted external vendors to provide robust technology platforms and integrate comprehensive contingency plans to ensure that your event is as seamless as possible. Virtual and hybrid events are an opportunity for you to grow your audience – let us help you reach interested attendees around the world.

Registration Only

Do you find the registration process of event coordination to be an overwhelming undertaking? Let us coordinate it for you! UECS is equipped to handle all aspects of registration. Our team utilizes Cvent to build and maintain registration websites that can collect attendee details and payments. Accepted payment types may include all major credit cards, checks, purchase orders, wire transfers, or internal (UConn) payments. Clients will receive an invite to a portal where they can review registration reports that update in real time. Additional add-ons include the printing of name badges or onsite staffing for check-in desks. Let us partner with you so you can focus on other vital elements of your event. Rest easy knowing that your attendees are getting top level customer service with the initial touchpoint of your event.

Room Reservations

There are a variety of event venues across the UConn-Storrs campus that are available to reserve for internal UConn employees. UECS oversees internal reservations for the Dodd Center, Rome Ballroom, UConn Bookstore, and Wilbur Cross North Reading Room. Internal UConn employees can fill out our Room Reservation form to request use of one of these spaces. Contracting for other event planning services is not required. Please note that internal reservations for a classroom, the Student Union, or the Foundation/Alumni Center do not go through our office. However, if ultimately contracting for full event planning services, our office will make those reservations on your behalf.

Event Design

What should be at the heart of every event plan? Designing how to meet or exceed the needs of your audience! Whether creating a new event or breathing new life into a repeat event, let our Event Design-certified staff work with you and your team to ideate, prototype, and implement innovative and captivating event plans. An event design process is typically facilitated over two days with a group of 5-7 stakeholders (event planners, owners, etc.) utilizing the Event Canvas Methodology. Unlock your creativity and drive event success with the help of our team. UECS aims to wow your audience and leave them coming back for more.

In-Person (Live)

Our team has decades of experience with planning live events of all types – meetings, conferences, special events, ceremonies, and tradeshows. UECS prioritizes staying on top of industry trends to help our clients exceed attendee expectations. From the event design phase through the post-event success review, UECS can provide valuable strategy guidance, logistics management, and data analysis at all steps of the process. At UECS, our team understands that to capture the right audience, you may need to host your event off-campus. Our planners are still happy to be of service with these events! From venue selection, overnight accommodations, transportation, food & beverage, etc., UECS can assist with many elements of off-campus events and can travel to execute on-site, as needed. If you are looking to utilize an off-campus location for your event, reach out early and let us help from the onset to ensure your guests feel at home no matter where you are – in Connecticut, in the US, or around the world!

External Clients

UECS serves both internal (UConn) and external clients. Our team has years of experience working with non-profits, youth groups, sports camps, and corporate groups for programs on any of the UConn campuses. While some areas can be utilized during the academic year, we also have ample availability in our meeting spaces, residence halls, and dining halls during our summer season. Centralize your program with access to a variety of services in the heart of Connecticut’s renowned flagship university. UECS will work with your organization on all elements of your event. The contracting process includes completion of a Facilities Use Agreement (FUA), providing the University with a certificate of event insurance, and paying a 25% deposit to secure your reservation.
